What I hold about you and your child, and why.

I am a sole trader. There is no team and no office. Everything described
here is handled by me.

Who I am

Adrian Thompson, trading as Adrian Thompson Tuition, Birmingham and the
West Midlands. I am the data controller for the information described on
this page.

What I collect

When you book an assessment, I collect your name, your email address, and your phone number if you give it.

About your child, I collect a first name only, never a surname, and a year group.

During the session I collect the answers your child gives, and my own notes on how they worked.

If you message me on WhatsApp or by email, I hold that conversation.

I do not ask for a home address, a school name, a date of birth, or any
health information. If you send any of it, I will not keep it unless you
have asked me to.

Why I collect it, and what allows me to

I use your contact details to arrange the session, send the report and
speak to you afterwards. I use your child’s answers to mark the paper
and write the report. There is no other purpose.

The lawful basis is that you asked me to provide this service, and I
cannot provide it without this information.

I do not use any of it to advertise to you. I do not build a mailing
list. I do not sell or share anything with anyone for marketing.

Where it is stored

Bookings go through Calendly, which holds your name and email so the appointment can be made.

Your child’s answers go into a Google Form, and the responses sit in a Google Workspace account that belongs to my business.

The report is produced in a spreadsheet held in my Dropbox account and sent to you by email.

Emails sit in my email account. WhatsApp messages sit on my phone.

Calendly, Google, Dropbox and my email provider are tools I use. They
hold the information on my behalf and do not use it for their own
purposes. No other person sees any of it.

This website is hosted by Krystal in the United Kingdom. Like any web
host, their servers keep a short technical log of visits, including IP
addresses, for security. I do not use those logs.

How long I keep it

I keep the assessment answers, the report and our messages for twelve
months after the follow-up call, then delete them. If your child becomes
a tuition pupil, I keep them for as long as I am teaching your child and
for twelve months afterwards.

Deleting it

Email me and ask. I will delete everything I hold and confirm when it is
done. You do not have to give a reason.

You can also ask for a copy of what I hold, ask me to correct something
wrong, or object to how I am using it. There is no charge, and I will
answer within one month.

If you are unhappy with how I have handled your information, you can
complain to the Information Commissioner’s Office at ico.org.uk.

Cookies

When you first arrive you choose which cookies to allow. Necessary
cookies keep the site working and record that choice. You can decline
the rest.

If you visit the login page, the site sets a temporary cookie to check
whether your browser accepts cookies. It holds no personal data and goes
when you close the browser. The other login cookies apply only to me.

Safeguarding

One thing sits outside everything above. I am a trained Designated
Safeguarding Lead. If I ever had a concern that a child was at risk of
harm, I would act on it and pass it on, the same as I would in school. I
would not treat that as confidential.
